How to Connect AI to Your CRM: What It Can Do and How to Get Started
Most CRM systems store a lot of data but do very little with it. AI changes that. Instead of just recording what happened, your CRM can start predicting what should happen next, writing first drafts, and flagging what needs attention.
What AI Actually Does in a CRM
- Lead scoring β automatically ranks leads by likelihood to convert based on behaviour and profile data
- Email drafting β generates first-draft follow-up emails based on previous conversation history
- Meeting summaries β transcribes and summarises calls, then writes the next steps to the contact record
- Chatbot-to-CRM sync β automatically creates or updates contact records from chat conversations
- Churn prediction β flags existing customers showing disengagement signals before they leave
- Pipeline forecasting β gives realistic revenue estimates based on current deal stage and historical data
Which CRMs Support AI Best
HubSpot has the most native AI features built in β Breeze AI handles email drafts, meeting summaries, and lead scoring without any additional tools. Salesforce has Einstein AI with similar capabilities, but at a higher price point. Pipedrive has basic AI email assistance. For custom CRMs or simpler tools, AI is added via API connection.
How the Connection Works
There are three ways to connect AI to a CRM. First, native integrations β the CRM already has AI built in (HubSpot Breeze, Salesforce Einstein). You turn it on in settings. Second, no-code middleware β tools like Make or n8n call the OpenAI API and write the result back into your CRM via its API. Third, custom development β a webhook triggers when something happens in the CRM, sends data to an AI model, gets a result, and writes it back. This gives the most control.
A Real Example: AI Follow-up Email in HubSpot
When a lead submits a form, a Make workflow fires: it reads the form data and any previous contact history from HubSpot, sends it to GPT-4 with a personalised prompt, receives a draft email, and creates a task in HubSpot for the sales rep to review and send it. The rep reviews one email instead of writing it from scratch. It takes 40 seconds of their time instead of 5 minutes.
Where to Start
- If you use HubSpot: enable Breeze AI in your settings β it's included in most plans
- If you use another CRM: identify the one AI task that would save the most time (usually follow-up email drafts)
- Build or commission a single automation that does that one thing well
- Measure the time saved over 30 days, then expand
We can connect AI to whatever CRM you use β HubSpot, Salesforce, Pipedrive, or a custom system. Book a free 30-minute call to discuss what's possible.
